CLARIFICATION QUESTIONS FOR DEPARTMENTAL TENDER: DT-MBB/01/2015

Questions:

1. How would you like us to represent any ongoing costs relating to the website, such as hosting, licenses and support services which are usually yearly or monthly charges as opposed to one-time costs?

Answer:

This is a global price contract, these costs must be included as an overall cost for the website (Activity 2). These costs need only be for the 12 month span of the project.

2. Could you please explain what is expected by ‘Making all local news stations and newspaper media of the event’. Does this simply mean that the media is invited?

Answer:

Yes, all media are simply to be made aware of the event and invited to attend.

3. Activity 7: Distribution – Since the cost of this item is fixed, could you please quantify this distribution so that postage rates etc can be calculated?

Answer:

We specified the minimum order which is 500 copies, therefore please base your calculations on this number.

4. Activity 2. Design and Implementation of website

Does the site need to be responsive (compliant with mobile technology?) -> the social media campaign says it needs to comply with the most prominent advertising tool on social platforms – that would be mobile ads on Facebook)?

Answer:

We expect the website to be compliant with all Mobile technology. The social media platform for the social media campaign is to be Facebook. We ask that the ad links back to the web portal.

5. Will the portal’s information be served through a login area? (press Release and Webinars) – require a login area??

Answer:

Yes – general information on the project, inclusive of partner information, press releases etc. will be available to all the general public but, specific training information (training material, access to webinar) will require a login area.

6.What are the Visual Identity guidelines (is this about brand guidelines relating to the logos?)

Answer:

The visual identity guidelines are those set out by the EU that must be abided to for the use of ESF logos, the link for these guidelines are in the tender document:

7. Activity 8: Design, Printing and Distribution of Layman’s Guidebook.

The internal pages in a minimum of two colours in the form of a printed booklet and will be produced by the end of the project in order to be able to communicate the training material of the project in a non-technical way to the wider audiences.

Question: What happens if Contracting Authority wants to put up colour photos or images, with 2 colours they can only be printed as mono scale (b/w)? Should the service provider quote in full colour for the internal pages?

Answer:

All images should there be any will be in Black and White, therefore, please quote as per request (2 colours)

8. Activity 4 and 10: Launch and closing event.

Service Provider to make all local news stations and newspaper media aware of the event…Does this mean that the service provider has to buy newspaper advertising space for adverts?

Answer:

No this means that all media are simply to be made aware of the event and invited to attend by the Service Provider.

9 .Regarding the online tool of the European Project Intelligent System through eLearning – is this a feed of the open projects from the myEUROPA website? What other information will we need to co-ordinate with please?

Answer:

Our Partner will provide a link from our project website (the website to be designed by the service provider) into their eLearning materials repository for those who participate in the project, they would enable them to also create web profiles on their platform and give support in that where and when necessary for the duration of the project

10.Activity 2 – Regarding ‘The participants will also have access to webinar seminars provided by the experts via the portal.’ – With respect to webinar seminars, are we actually going to provide the infrastructure to deliver the webinars from the portal itself or will we simply need to link to the webinar?

Answer:

The service provider is to simply link to a third party webinar system, which will be determined at a later date e.g. http://www.clickwebinar.com/

11.Activity 3 – You mention ONE sticker to be placed on the project laptop AND printer. Then you mention that ‘the printing of both the stand-up banners and the sticker’. How many stickers would you need to be printed? Only one? And any indication towards the dimensions of the sticker?

Answer:

In this instance you are correct that two stickers need to be printed with the same design. There is no such dimension planned but we suggest that it is no bigger than 5cm x 5cm

12.Activity 3 – With respect to pop-up banners – There are various sizes and types of popup banners, can you please state the type and size required?

Answer:

Standard Size 240cm height x 85cm width

13.Activity 6 – Are the USB Flash Drives to be branded?

Answer:

No

14.Activity 9 – Are these going to be one sided? Are they going to be in full colour?

Answer:

One sided, full colour
